Job Description
- Handle administrative tasks such as ordering supplies, preparing contracts, and coordinating equipment purchases and maintenance
- Respond to calls, emails, and walk-in inquiries; provide accurate information or direct to appropriate staff
Maintain and update department files, databases, and records; ensure accuracy and compliance with retention policies
Process and track purchase requisitions, purchase orders, and vendor invoices
Prepare and proofread reports, letters, and agendas; ensure accuracy in grammar and formatting
Manage calendars, schedule meetings, and provide administrative support to committees
Receive and distribute incoming and outgoing mail and service requests
Support special projects and assist with onboarding and training of new staff
- Applicable Federal and State laws; City, department, and division regulations, codes, policies, and procedures.
- Recordkeeping principles and procedures.
- Business letter writing and report preparation.
- The structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.
- Modern equipment and communication tools used for business functions and program, project, and task coordination.
- Computers and software programs (e.g., Microsoft software packages) to conduct, compile, and/or generate documentation.
- Perform responsible administrative and secretarial support work with accuracy, speed, and general supervision.
- Enter and retrieve data from a computer with sufficient speed and accuracy to perform assigned work.
- Understand, interpret, and apply all pertinent laws, codes, regulations, policies and procedures, and standards relevant to work performed.
- Independently organize work, set priorities, meet critical deadlines, and follow-up on assignments.
- Must have one year of progressively responsible experience performing office support activities using modern office practices, procedures, and equipment.
