Job Location: Sonoma, California
Job Type: Direct Hire, Full Time, In Office
Pay Rate: $24-$30/hour
Schedule: Monday - Friday; 8am-5pm

About the Role
We're looking for a Bilingual Payroll Specialist to support our internal team, external staff, and clients. This role is the backbone of our weekly payroll operations and is ideal for someone who thrives in a dynamic staffing environment, values accuracy, and enjoys working directly with people. You'll ensure employees are paid correctly and on time while supporting compliance and client payroll needs.
What You'll Do
Payroll Operations
- Process weekly payroll for internal and client employees
- Collect, audit, and validate employee timecards for accuracy and compliance
- Follow up with employees who have not submitted prior to deadlines
- Process payroll for client events, ranging from 16-150 employees in a given week
- Handle payroll corrections, adjustments, and timecard discrepancies
- Prepare weekly payroll reports and support billing as needed
Bilingual Employee Support
- Communicate daily with employees in Spanish and English to confirm hours worked
- Explain payroll processes, pay discrepancies, and timekeeping expectations
- Serve as a trusted point of contact for payroll-related questions
Compliance & Accuracy
- Ensure payroll complies with federal, state, and local labor regulations
- Audit hours for overtime, pay rates, and job assignments
- Maintain accurate payroll and employee records in HRIS/payroll systems
- Administer onboarding documentation (I-9, W-4, ACA, WOTC, harassment)
- Manage workers’ compensation, unemployment, and workplace injuries
- Assist with investigations, site inspections, and internal recruiting
Client & Internal Collaboration
- Coordinate with internal staffing teams to ensure employees are correctly assigned and paid
- Support client payroll needs, especially for short-term or high-volume event staffing
- Assist with reporting and payroll-related problem-solving

- Fluent in Spanish and English (required)
- Detail-oriented, deadline-driven, and highly organized
- Comfortable managing high-volume payroll with weekly deadlines
- Confident communicating with employees and clients
- A proactive problem-solver who stays calm under pressure
- Collaborative, professional, and dependable
Education & Experience
- High school diploma required; associate or bachelor's degree preferred
- Payroll, staffing, or administrative experience strongly preferred
- Experience in a staffing or high-volume payroll environment is a plus
- Proficient in Microsoft Office; comfortable learning payroll and staffing systems
