Job Location: Santa Rosa, California

Pay Rate: $23-$24/hour

Job Type: Permanent

Schedule: Monday-Friday, 8am- 5pm

Amount of Travel Required: Occasional travel to events within area; mileage reimbursed  

Description of Position:
This is a great opportunity for you to join our organization as a Member & Administrative Assistant. In this role, you will play a crucial part in providing exceptional customer service and support to our members, chapters, and organization. Working under the guidance of the Chief Executive Officer and Member Services Manager, you will perform a wide range of administrative tasks and offer member support, ensuring a smooth and efficient operation.

Experience Required:
  • Primarily staffs the front desk; answers phone, responds to emails, and greets visitors; resolves general and specific requests/inquiries regarding meetings, activities, services, and platforms 
  • Primary staff responsible for office management and store inventory/organization 
  • Assists with research, maintenance, and operation of equipment, platforms, and accounts 
  • Manages office mail 
  • Assists with registration and travel for regional meetings 


Member Services & Membership:
  • Supports meetings, events, trainings/education, and activities - preparation, logistics, coordination, and implementation 
  • Assists with logistics and implementation of classes, trainings/education, and activities 
  • Assists with affiliate member activities; sponsorships, spotlights, presentations 
  • Maintains accurate member records within database; process applications and information updates, dues and payments, monitor compliance, and other records in accordance with policies 

Skills and Qualifications:
  • Commitment to excellent, positive, and professional customer/member service 
  • Maintains professional, approachable communications (and presentation of self) with staff, members, internal and external stakeholders, and the public (verbal, written, phone, and in-person) 
  • Maintains positive, collaborative, effective working relationships with staff, members, vendors, etc. 
  • Communicates clearly and concisely, verbally and in writing, with a range of roles and personality styles 
  • Highly organized, manages time and multiple projects with professionalism, accuracy, and efficiency 

Education and Experience:
  • High school diploma or equivalent 
  • 2 years of administrative and/or office experience 
  • Technical (intermediate proficiency) 
  • Microsoft Office; Word, Excel, PowerPoint, Outlook 
  • Ability to learn specialized Association database based on Microsoft Dynamics 
  • Online sharing and collaboration tools (Box, Google, surveys, other communications tools) 
  • Ability to answer multiple lines and screen calls 
  • Typing: 40-60 WPM 
  • Valid driver's license and current automobile insurance
