Event Administrative Assistant

Job Location: Napa, California

Job Type: Temporary (Maternity Leave Coverage)

Pay Rate: $25-$28/hour

Schedule: Monday - Friday; 8am-5pm

Description of Position:
Do you have experience as an Administrative Assistant and enjoy supporting events? We are seeking a reliable and hands on Event Administrative Assistant to support event operations and administrative tasks. This is temporary assignment covering a maternity leave from late April through November. This role combines administrative support with hands on event coordination. You will assist with planning, setup, execution, and breakdown of events while ensuring all materials and logistics are handled efficiently.

Job Responsibilities:
  • Provide administrative support for event planning and execution
  • Generate reports, spreadsheets, and event-related documentation
  • Attend meetings and record/distribute meeting minutes
  • Prepare and assemble event materials (badges, agendas, seating charts, etc.)
  • Assist with live and virtual meetings, conferences, and special events
  • Track and manage event inventory, including ordering supplies
  • Support logistics for conferences, trade shows, and exhibit booths
  • Research venues and assist with event planning tasks
  • Process invoices, payments, and shipping of event materials
  • Pack, ship, and coordinate delivery of event supplies
  • Set up and break down event materials on-site
  • Maintain a professional and customer focused presence at all events

Description of Company:
You will be supporting a well-established insurance company in Napa, California.

Experience Required:
  • Previous administrative or event support experience preferred
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to lift up to 50 lbs and assist with event setup/breakdown
  • Excellent communication and customer service skills
  • Reliable, detail oriented, and able to work both independently and on a team
