Do you have experience as an Accounts Payable Manager? We are seeking an experienced Accounts Payable Manager to oversee the daily accounts payable process, manage a team of A/P processors, and identify areas for improvement within the accounts payable system. This role involves leading a team, ensuring timely and accurate processing, and collaborating with senior leadership to enhance operational efficiency.
- Delegate responsibilities and authorities to A/P processors for efficient department operations.
- Identify and implement opportunities for workload smoothing, process optimization, and long-term problem resolution.
- Provide staff counseling, coaching, and ongoing feedback on individual performance, including performance evaluations.
- Oversee data input and processing of invoices, A/P checks, and ACH payments.
- Supervise and guide A/P Data Entry personnel.
- Collaborate with the CFO and Controller in vetting and implementing A/P automation software.
- Ensure accurate, timely, and complete processing of accounts payable functions, including:
- Auditing voucher packets for completeness and purchase order matching.
- Reviewing month-end reports (aging, duplicate payments, voided checks, stale-dated checks, and 1099 errors).
- Providing requested information to auditors.
- Ensuring account reconciliations are completed and outstanding issues resolved.
- Managing work overflow to meet departmental deadlines.
- Administering the expense reporting system.
- Issuing 1099 forms to required vendors.
- Manage Accounts Payable Processors (including site, general, and office managers who approve and code invoices).
- Supervise A/P Data Entry personnel.
- 5-10 years of experience in accounts payable.
- Two years of college coursework in accounting or equivalent experience.
- Strong leadership abilities to organize, delegate, and facilitate team operations.
- Excellent attention to detail with problem-identification and resolution skills.
- Strong verbal and written English communication skills.
- Exceptional organizational and coordination abilities, particularly during month- and quarter-end periods.
- Ability to adapt to dynamic work environments and evolving responsibilities.
- Proficiency in Microsoft Word, Excel, and database management.
- Strong math and calculator skills (ten-key by touch).
- Solid understanding of general accounting procedures and the importance of accounts payable.
- Ability to sit and operate a computer for at least six hours per day, in two-hour intervals.
- Experience implementing or using an automated accounts payable system.
- Familiarity with Microsoft Dynamics 365, Multi Entity Management, and JET Reports software.
